Deaf and Hard of Hearing Services

The Office for Students with Disabilities provides reasonable accommodations for in-person and online classes to students who are deaf or hard of hearing (DHH). Accommodations may include‚ but are not limited to:

  • Sign Language (SL) interpreting
  • Real-time captioning
  • The use of closed captions on all media

The role of real-time captioners and interpreters in the classroom is to provide students with access to content that is delivered by spoken words and sound. To receive timely DHH services‚ A request for a service provider should be submitted at least four weeks in advance of the start of the semester.

Timelines

For regular classes: A request for a service provider should be submitted at least four weeks in advance of the start of the semester.

For special events (tests, fieldtrips, or other out-of-class or campus activities): A Custom Request should be submitted two weeks in advance of the date for the special event (this includes finals week). The request should be filled out as completely and accurately as possible. If any required fields are left incomplete, a delay of scheduling a service provider may result. The DHH Coordinator is available to assist students with any concerns.

For students who request captioning services for an online class: You will need to email a Zoom link to [email protected], along with the class subject, number and section number (i.e., COUN 1200.001).

We will share the link with the captioner assigned to your class.

Once in the class:

  • The captioner can identify themselves by sending you a direct message in the chat feature, which is marked ‘private’ in Zoom.
  • We ask them to write CART next to their name.
  • Look for them in the Zoom meeting participant list and send them a direct message through the chat feature. Click ‘everyone’ in chat box, look for your service provider’s name and click their name to message them directly. You should see the word ‘private’ in red notifying you that you are only communicating with them.
  • You will be able to click the closed caption option at the bottom of the main meeting window to view closed caption and participate in the class.
  • From a laptop or iPad the closed caption option may be at the top or sidebar.

If you have been notified that your class will be using Remote Captioning, as the student, you are responsible for the following:

Before the start of each semester:

  • Picking up the microphone from OSD
  • Student must meet with the OSD Staff member to set up the microphone on the student’s laptop or device. The student will receive instructions prior to the first remote captioning session.
  • Filling out the Equipment Loan Agreement

Before/Beginning of each class:

  • Join the Stream Text captioning session (OSD Staff will provide link)
  • Verify that the remote captioner is connected

For students who need interpreting services, the Zoom platform will be the most feasible to meet accommodation needs. Please follow these steps:

  • You will need to provide the Zoom link to [email protected], along with the class subject, number and section number (i.e. COUN 1200.001).
  • We will share the link with the interpreter assigned to your class

Once in the class:

  • The interpreter can identify themselves by sending you a direct message in the chat feature, which is marked ‘private’ in Zoom.
  • Once they are identified you will select their userbox, double click or right-click and select ‘pin’ which will allow you to see them in full-screen mode.

There is no breach of confidentiality if the other students can see the captioner or interpreter as this would be the same experience for them if they were in the class. The student can communicate with the service provider privately via chat if necessary.
